4. How we collect information

We collect information directly from you through website forms, uploaded documents, emails, portal activity and communications with us. We may also receive relevant information from referees, recruitment sources, professional advisers, public authorities or other sources where lawful and appropriate. If information is obtained from another source, we provide the information required by data protection law when applicable.

5. Who we share information with

We limit access to authorised people who need the information for their work. We also use service providers that support the website and recruitment system, including cloud hosting, database and file-storage, and transactional email services. Our current production system uses Google Firebase/Google Cloud for database and document-storage functions and Resend for transactional email. We may also disclose information to professional advisers, regulators, law-enforcement bodies or other organisations where required or permitted by law.

We do not sell personal information.

6. International processing

Some technology providers may process information in, or make it accessible from, countries outside the United Kingdom. Where UK data protection law requires safeguards for an international transfer, we require an appropriate lawful transfer mechanism or other permitted safeguard from the relevant provider.

7. How long we keep information

We do not keep personal information indefinitely. Retention is determined by the purpose for which a record is held, whether an application remains active, whether a person becomes an employee, applicable limitation periods, legal and regulatory duties, safeguarding needs, audit requirements and the need to establish, exercise or defend legal claims. When information is no longer required, it is securely deleted, anonymised or otherwise removed from active use in accordance with those criteria.

8. Security and portals

We use technical and organisational measures intended to protect personal information, including access controls, authenticated portals, role-based administration and audit records. Candidate and employee portal users should keep their login information and application reference secure and should log out on shared or public devices.

9. Your rights

Depending on the circumstances, you may have rights to access your personal information, correct inaccurate information, request erasure, restrict processing, object to processing, receive certain information in a portable form, and withdraw consent where consent is the lawful basis. These rights are not absolute and exemptions may apply.

To exercise a right, contact info@joesexcellentmanagement.co.uk. We may need to verify your identity before acting on a request.

10. Complaints

Please contact us first if you have a concern so that we can investigate it. You also have the right to complain to the Information Commissioner's Office, the UK's data protection regulator. Information about making a complaint is available at ico.org.uk.
